To bring all your wedding replies together, give each guest a personal link and make it the only way in for replies. Those that arrive another way, by text, on the phone or on a reply card, are recorded on that same link, by you, as soon as you receive them. You end up with a single, up-to-date list that the caterer, the seating plan and the welcome desk can read as it is.
Why replies scatter
A wedding gets its replies through every channel: a text to one of you, a voice message to the other, a "we'll be there!" mentioned to a mother-in-law, a reply card posted three weeks later. Each channel is one more list, and each list one more chance to forget someone, or to count them twice.
The rule: one way in
Each guest's personal link is that way in. It recognises them, their name is already filled in, and their reply is filed in their row. They can change it later from the same link, and your list follows.
For guests who are not on your list yet, the invitation also has a public link and its QR code: the guest types their name when replying. Still, prefer the personal link whenever you can: it is what tells you who opened, who to remind, and who receives an entry pass.
What the list should hold
| Information | Why | Where it is used |
|---|---|---|
| Attendance | The number of covers | Caterer, venue |
| Seats and named plus-ones | So a "+1" does not become a "+3" | Seating plan, entry pass |
| Adults and children | The number of children's meals | Caterer |
| Dietary requirements | Allergies cannot be improvised | Caterer |
| A short note | What the guest wants to tell you | For you |
The number of seats is set household by household: on their link, the guest reads how many people they can bring, and names them. From the Signature plan, they can also attach a voice message to their reply.
Replies that came another way
By text or on the phone. Open the guest's personal link from your list and record their reply with them, plus-ones and dietary needs included. It is filed like the others, and reminders stop for them. After the deadline, the form is closed for everyone: push the date back first, in one click.
On a reply card. Same gesture, on the day the card arrives.
Through a relative. Rather than noting a second-hand reply, ask them to pass on the link: the person concerned replies themselves, and nobody guesses a dietary requirement on their behalf.
Putting the list to work
A single list serves three times. From the Signature plan, the replies export to a file for the caterer, plus-ones and dietary needs included. From the Prestige plan, guests who said yes are placed at tables, plus-ones included. From the Signature plan, each expected person receives their entry pass, and the welcome desk checks arrivals against the same list.
Together, this is Invitez-nous guest management. To get the quiet ones to reply, see how to send reminders without offending, then create your wedding invitation.
